ChatGPT Support Messages: Put the Facts First
Prepare a clear customer support message from order details and observations. Separate facts from guesses, protect personal data and review before sending.
Make the issue easy to check
A long complaint can hide the detail a support agent needs. ChatGPT can help you arrange what you ordered, what you observed and what you want checked into a short inquiry. The useful output is a draft you can verify, not a decision about your rights or the provider’s responsibility.
Start with one issue and one requested next step. If the cause is unknown, say so. A parcel containing fewer items than expected does not, by itself, prove who made a mistake or whether another shipment is planned.
1. Gather only relevant details
Check the order confirmation, current status and any previous reply. Number the facts O1, O2 and O3. Record the dates that matter and distinguish what the site displays from what you physically received.
Keep the full order reference outside the AI draft, using a placeholder until you contact the official support channel. Remove addresses, payment details, passwords and unrelated screenshot content. Find the support route from the provider’s own site rather than an AI-generated address.
- Record quantity, item and observed problem precisely.
- Describe evidence without claiming it proves an unknown cause.
- Include policy text only after checking its current wording and relevance.
2. Practice with a missing-item case
The following is a fictional practice case. You ordered two notebooks and found one in the parcel. No return policy or separate-shipment notice has been supplied.
The first inquiry should help support check the order. Asking whether a second parcel is planned is a request for information, not a claim that it has already shipped.
| Source | Checked information |
|---|---|
| O1 | Order confirmation lists two notebooks. |
| O2 | The received parcel contained one notebook. |
| O3 | The account displays the order as delivered. |
| O4 | No message about a separate shipment has been found in the material checked. |
3. Draft one clear inquiry
Open the shared prompt, replace its bracketed fields and add your numbered notes. Choose the channel and a realistic length. Ask for a source check alongside the message so fluent wording does not conceal invented details.
A possible draft is: “Regarding order [reference], the confirmation lists two notebooks, but the parcel contained one. The account shows the order as delivered. Please check whether the second notebook is being sent separately and tell me what to do next.” Add evidence only if you are actually providing it.
Open, edit and copy the full prompt
4. Check facts, requests and assumptions
Read each factual sentence against your notes. “I received one” is an observation; “your warehouse forgot one” is an unverified cause. “Please check a replacement” is your request, not an approved replacement.
If the draft promises a refund, states a deadline or quotes a policy you did not supply, remove or verify that claim. This workflow does not establish eligibility or legal rights.
| Wording | How to treat it |
|---|---|
| The parcel contained one notebook. | Observation supported by O2. |
| The warehouse made a packing error. | Cause not established by the notes. |
| Please check whether another parcel is planned. | Requested clarification, not a shipment confirmation. |
5. Adapt the message to the channel
For a form, use its actual fields and put the issue in the description box. For live chat, send the reference and short description first, then provide relevant evidence when requested through the official channel. Keep the timeline consistent across versions.
Check attachments for addresses, barcodes or unrelated personal information before sending. A photograph can show the received contents without proving the whole delivery history. Do not label an attachment as included unless it is selected and ready.
6. Keep a follow-up record
Save your sent message, date and actual case reference. When a reply arrives, add it as a new fact rather than asking AI to infer the outcome. Follow-up timing should use the provider’s stated guidance or your own clearly labeled preference.
A follow-up can cite the existing case and ask for an update without announcing approval, refund or dispatch. Check the final message yourself and send it through the verified channel.
- Every factual claim matches a note.
- The request does not become a provider promise.
- References and dates are correct.
- Sensitive details are excluded from the AI draft.
- The selected attachments are actually available.
