ChatGPT Work Handover: Turn Scattered Notes Into Clear Next Steps
Build a useful work handover from your notes: keep sources, separate confirmed tasks from open questions, and test whether the next person can act.
What makes a handover usable?
A handover works when someone else can find the right file, understand the current state, and choose the next action. A smooth summary alone does not answer those questions. ChatGPT can organize information you supply, but you still need to check that each instruction matches the real work.
This workflow suits a short absence, a project transfer, or a recurring task moving to a colleague. The output is a working draft with sources and gaps. It does not transfer access, assign work, or contact anyone. Start with one process rather than asking for a complete department manual.
1. Prepare a small evidence pack
Collect the latest relevant notes, the current template, and the open issues. Give each note a stable ID so the draft can point back to it. Include the date and time zone when timing matters. Remove customer details, credentials, and material you are not permitted to share.
Keep observations separate from interpretation. “The supplier has not replied” is a recorded state; “the supplier will deliver tomorrow” needs evidence. If two notes disagree, retain both dates and IDs instead of silently picking one.
- State who receives the handover and what they already know.
- List the existing file links and mark which have actually been tested by that recipient.
- Record agreed owners and deadlines exactly. Leave absent values unknown.
- Use your organization’s approved AI tools and data-sharing rules. Account data controls do not replace that approval.
2. Try these fictional notes first
The example below is invented for practice. Replace it with your own checked notes before producing a real handover. The bracketed folder name is a placeholder, not a working link.
| Source | Supplied fact |
|---|---|
| N1 | The weekly report is due Friday at 12:00, in the team’s local time zone. |
| N2 | The report uses template v3 in [Reporting folder]. |
| N3 | This week’s figures were last checked Thursday at 16:00. |
| N4 | The supplier confirmation is still pending. No follow-up owner is recorded. |
| N5 | The receiving colleague has not yet confirmed folder access. |
3. Generate a source-linked handover
Open the shared prompt, replace the bracketed fields, and paste the numbered notes. Ask for the recipient’s next action, not just a description of past activity. The prompt requires an evidence ID for factual claims and an explicit unknown label for missing owners and deadlines.
A useful clarification would be which time zone “local” means in N1. If you cannot answer yet, keep the deadline qualification visible. A polished draft should not quietly resolve that uncertainty.
Open, edit and copy the full prompt
4. Inspect the draft task by task
A reasonable draft from the sample could contain the following items. Proposed checks are editorial suggestions, while the due time and pending state come from the supplied notes.
| Item | Evidence and uncertainty | Proposed next step |
|---|---|---|
| Weekly report | Friday noon [N1]; template v3 [N2]; figures checked Thursday [N3]. Time zone needs clarification. | Open the template, confirm the reporting period, and verify whether the figures need updating. |
| Supplier confirmation | Still pending [N4]. Owner and response date are not specified. | Ask the existing team contact who will follow up. Do not invent a delivery promise. |
| Folder access | Recipient access is unconfirmed [N5]. | Have the recipient test the actual shared link before the handover ends. |
5. Run a receiving-person test
Ask ChatGPT to read the draft as someone taking over tomorrow: “Which three questions would stop you from starting? Point to the relevant lines and explain what is missing.” This is a simulation that can expose unclear instructions. Only the real colleague can verify access and confirm whether the explanation is usable.
Check the result with the recipient where possible. Can they identify the current template without opening five folders? Do they know the first task and its deadline? Can they distinguish an open question from an approved decision? Add the answers to the source notes and regenerate only the affected section.
For example, if the draft says “Send the report to the manager,” search the notes for that recipient. If no source names one, change the instruction to “Confirm the report recipient.” Do not let plausible organizational habits become invented facts.
6. Finish with a short, verified handover
Use a 20-minute target if the task is small: five minutes to gather notes, five to organize them, five to verify the output, and five for the receiving-person check. Treat this as a planning aid; missing evidence or access issues can take longer.
Before sharing, scan every owner, date, status, and URL against the source pack. Keep a clearly dated version and a short list of unresolved questions. If new information arrives, update its source note first so the next revision stays traceable.
- Every factual task has a source ID or is explicitly marked unknown.
- Suggested actions are labeled, and agreed assignments stay distinct.
- File links open for the intended recipient; passwords are absent.
- Conflicting notes and the actual time zone are visible.
- The next person knows the first action and how to raise a blocker.
