Turn ChatGPT Notice Photos into a Verified Calendar List
Start with a review list
A notice photo may contain an event, a registration deadline or a revised venue. Ask ChatGPT for a traceable review list you can check against the notices before entering anything in your calendar.
This guide uses fictional text transcriptions for editorial illustration, not real images or a reported ChatGPT test. Preserve each source’s wording, expose missing details, and decide which rows are ready through your own verification.
Attach readable pages and label them in your message
Photograph each notice straight on, with its entire date block visible. Avoid glare and cropped lines. Label attachments and pasted transcriptions S1, S2 or S3 in your chat message so every claim has a source.
The current change to watch: OpenAI’s October 1, 2026 release notes describe an iOS rollout of camera → three-dot menu → Scan, combining multiple pages into a PDF. Availability varies during rollout.
A scan button does not guarantee visual reading. Uploads depend on plan limits; Enterprise can visually retrieve PDF images, while other plans and document types extract digital text. For an image-only scan on those plans, attach readable PNG/JPEG pages separately or verified text.
Image inputs support PNG/JPEG, but unclear or non-Latin text, including Korean, may be less accurate. Image metadata and filenames are not processed. If a date looks doubtful, supply a clearer close-up or type the verified wording instead of asking for a guess.
Keep deadlines and events in separate rows
Use one row per dated obligation. An RSVP cutoff belongs in a deadline row; the meeting belongs in an event row. Preserve original date wording beside normalized values and source labels so extraction errors remain visible.
Here is the fictional source set. Its English wording is retained exactly so the example can be compared across translations.
S1 = 'Community photo workshop. Event: 2026-10-24 10:00–12:00. Time zone: Asia/Seoul. Register by: 2026-10-20 18:00. Venue: Room A. Bring a charged phone.'
S2 = 'Organizer-confirmed update for the same workshop: Room C replaces Room A. All dates and times are unchanged.'
S3 = 'Book club: Nov 3, 7 pm. RSVP by Friday.'
On a small screen, swipe the table to see all columns.
| Item / type | Original date wording | Normalized date/time/time zone or unresolved | Source / check |
|---|---|---|---|
| Workshop / registration deadline | 2026-10-20 18:00 | 2026-10-20 18:00 · Asia/Seoul | S1; AI-read, awaiting your verification |
| Workshop / event | 2026-10-24 10:00–12:00 | 2026-10-24 10:00–12:00 · Asia/Seoul; Room C | S1 + organizer-confirmed S2: Room A → Room C; awaiting your verification |
| Book club / event | Nov 3, 7 pm | November 3, 19:00; year and time zone unresolved | S3; do not select 2026 without evidence; awaiting your verification |
| Book club / RSVP deadline | Friday | Exact date, closing time and time zone unresolved | S3; ask the organizer which Friday and when RSVP closes; awaiting your verification |
Resolve uncertainty without inventing details
The book club’s year remains unknown even though the workshop explicitly says 2026. A nearby dated notice does not supply a missing year. “Friday” also needs an exact date, and possibly a reference date explaining which Friday the organizer meant. Ask for the missing year, time zone and deadline wording.
Check any printed weekday against its calendar date. If they disagree, flag both values for organizer clarification; do not silently choose one. Do not insert midnight or end of day for a deadline without a closing time. A missing event duration is unknown, not an automatic one-hour appointment. Unknown values must stay visibly unresolved, not become zeroes.
Keep “Bring a charged phone” as a preparation action linked to the workshop, outside the four dated rows. It has no separate date in this source. Likewise, a venue is an event detail, not an extra calendar obligation.
Apply confirmed updates field by field
S2 explicitly identifies an organizer-confirmed update for the same workshop. It changes Room A to Room C and preserves all dates and times. Keep that change history beside the event so a reviewer can see why Room C appears in the list.
A newly uploaded file is not automatically a newer instruction. If two notices conflict, retain both claims and their source labels until the organizer confirms which instruction applies. Only prioritize an organizer-confirmed update, and replace only the fields it changes. An updated venue alone does not cancel a registration deadline or move the event.
Verify rows before copying them into your calendar
Open each source and check the title, date, year, time, time zone, deadline type and location. Mark a row “user verified” only after you have actually checked those fields; “AI-read” means the assistant extracted it, not that you approved it. Resolve conflicts with the organizer where needed.
Open the shared prompt board for the full reusable extraction prompt. It pauses for human verification before producing a ready-to-copy list. You can approve independent complete rows while leaving the book club unresolved; one incomplete notice need not block the workshop.
Enter only verified rows manually in your calendar and check its displayed time zone. This workflow does not create events or reminders. Keep unresolved rows and questions for the organizer’s reply.
