Translate Work Messages with ChatGPT Without Changing the Facts

How to use ChatGPT for email with practical prompts for drafting, rewriting, replying, following up, and creating reusable templates

Use ChatGPT to translate short work messages while checking dates, amounts, conditions, exclusions, and whether a draft grants authorization.

1. Define the audience and protect the source

A translated work message can sound natural while changing what someone has agreed to do. The useful check is whether the translated message preserves the original facts and limits. For a short email or chat message, ordinary text chat is enough: paste a copy you are permitted to share, with confidential and personal information removed. Keep the original available for comparison.

Tell ChatGPT the target language, audience, preferred regional usage, and level of formality. For Spanish, specify whether you want tú or usted and keep that choice consistent. Provide any approved glossary and say which proper names, product names, reference codes, or technical terms must remain unchanged. Ask for a translation, not a rewrite that makes the message more persuasive or definite.

2. Identify the details that must survive translation

Before translating, ask for a short list of facts and boundaries: dates, deadline wording, amounts, currencies, time zones, conditions, estimates, exclusions, and authorization status. Words such as can, if, estimate, and draft carry meaning. Removing them can turn a possibility into a promise, a conditional deadline into a firm commitment, or a review copy into permission to order.

Flag ambiguity without filling it in. A missing year may be retained as missing when the recipient already has enough context. Relative dates such as next Friday need clarification if their meaning is uncertain. Keep UTC unchanged unless you explicitly request a conversion and provide the necessary date, including the year, and locations or target time zones. If delivery needs a more precise meaning for this recipient, clarify it rather than guessing whether it means shipping, arrival, or a particular charge.

3. Translate with explicit limits

Resolve ambiguities that could change the message before producing a version ready to send. If a detail can safely remain unspecified, preserve it and list it separately as unresolved. Do not insert a year, add tax terms, calculate a total, or authorize a booking simply because that would make the message feel complete.

Use the shared translation prompt to request three outputs: the translated message, a compact check of details that must stay the same, and unresolved items. The prompt gives ChatGPT a language-assistance role; it does not make ChatGPT the sender or instruct it to take action.

4. Compare a short source and translation

This fictional editorial example uses Spanish with tú and a period as the thousands separator. The source does not specify a year. The target preserves that omission, keeps UTC, and changes number formatting without changing the amount.

Original English: We can send the revised draft by 14 October if we receive your comments by 12 October at 15:00 UTC. The estimate is EUR 1,250, excluding delivery. This is a draft for review, not approval to place an order.

Spanish translation: Podemos enviar el borrador revisado a más tardar el 14 de octubre si recibimos tus comentarios a más tardar el 12 de octubre a las 15:00 UTC. El importe estimado es de 1.250 EUR, sin incluir la entrega. Es un borrador para revisión y no autoriza a realizar un pedido.

Unsupported translation: «Entregaremos el pedido aprobado el 14 de octubre, con todos los costes incluidos.» This changes possibility into a promise, replaces a draft with an approved order, removes the condition, and contradicts the delivery exclusion.

5. Check meaning against the original

Review the target beside the source, not just for smoothness. This table shows what to check in the example. A translation back into English may expose a problem, but it is not sufficient by itself: compare each important detail directly with the original.

Detail to preserveSourceTranslation check
Dates and time zoneBy 14 October; comments by 12 October at 15:00 UTCBoth dates remain deadlines, UTC stays unchanged, and no year is added.
Possibility and conditionWe can send … if we receive your commentsPodemos and si preserve possibility and the condition; there is no unconditional promise.
Amount and currencyEstimate: EUR 1,250Importe estimado keeps the estimate; 1.250 EUR represents the same 1250 euros.
ExclusionExcluding deliverySin incluir la entrega preserves the exclusion; no tax or all-inclusive claim is added.
Authorization statusDraft for review, not approval to place an orderBorrador para revisión and no autoriza preserve review status and the limit on ordering.

6. Review before sending

Read the complete translation once more for tone and consistency after checking the facts. Make sure the chosen form of address fits the recipient and that fixed names and terms have survived. If you edit a sentence for style, recheck its conditions and limits. A shorter version is not an improvement if it drops an exclusion.

For messages with consequential commitments, ask a qualified bilingual colleague or translator to review the wording before you send it. ChatGPT can assist with a draft and comparison; that does not make the result certified or guarantee legal accuracy. Keep unresolved questions visible until someone can answer them.
